- Prioritize the intended audiences. Be careful to identify types of audiences (the press, The Board, senior leaders, employees at-large, regulators, et al.)
- Thoroughly describe the particular communication requirements or dispositions of each audience. Pay particular attention to the culture-based communication requirements.
- Determine if your presentation seeks to win commitment, announce change, announce bad news, involve the audience in solving a problem, briefing the audience, inspiring the audience, or some combination of the above. (Each objective requires a unique approach.)
- Prioritize your most important messages.
- Select “support” for each key message according to what will be most compelling for each audience. Consider the inclusion of graphics and other media.
- Prepare for Q-&-A (questions and answers) by anticipating the most likely and challenging issues and your position relative to each issue.
- Practice. Receive expert feedback and coaching. Practice some more. (Do this for the presentation and for the Q-&-A.)
- Do a dry-run with a low risk audience. Adjust the presentation.
- Do the presentation. Get immediate, expert feedback. Adjust the presentation. Give the presentation to the next audience.
